Agenda Item 1

(Robbie) I'm aware that I have not been performing labor up to standard recently, and would like to discuss with the house a way that I can rectify that via a signed agreement of some sort to help hold myself accountable.

Tabled, already resolved with labor czar.

Agenda Item 2

(Steward) Discuss rewording parts of our house manual regarding pausing late fees and rent payments during hospitalization (such as HM 10-4-15) to include medical leave.

Point of information: The language in our manual only refers to late fees. If they’re not getting late fees that’s kind of like a rent payment delay.

POI: They’ll still owe the rent, yeah. If they’re not paying late fees it’s like a delay, but right now they’ll still be in bad standing and facing eviction.

POI: The rule also specifies “in a hospital” not “on medical leave” and those are different things.

POI: I think hospitalization’s a good starting point. An in-patient facility would count I think.

POI: We can deal with this on a case-by-case basis without specific rules. We could reach out to member contacts in any situation.

POI: We’ve dealt with similar situations before, people who are clearly in recovery and can’t work, and we’ve waived their labor as a reasonable accommodation. When a doctor has given someone a note saying “you should not have a job” I think that’s a reasonable time to waive labor. The more we define a policy the more we have to handle edge cases. A specific rule will need to be complex, but we can already handle situations case-by-case. The benefit of a rule would be not having to ask the house.

(Steward) Nynke is asking for rent fees to be waived until nir medical leave from work is up in September

Clarifying question: Are you asking for the whole rent or just late fees?

Nynke: I’d like to get on a payment plan for the rent while I’m on medical leave, just asking for late fee waiving, like what another member asked for and got recently.

Amendment: A new payment plan can be entered immediately after ending a late fee waiver due to hospital or medical leave.

Approved as amended.

Agenda Item 4

(Steward (on behalf of Quinn)) Discuss reimbursement for purchases made as Food Buyer with her personal money before she was issued a co-op card

Quinn: I’ve been the food buyer since about the start of the year. A couple of months into the food buyer role I received a debit card to use the co-op money. There was a log of how much I was spending, since I turned in the receipts, and I would like to be reimbursed for my personal spending.

Kate, treasurer: Do you know the total? Those receipts are kind of old now.

Quinn: It was about two months, and several hundred dollars. Sorry I don’t have more information; Caitlyn was supposed to have digital transaction information but didn’t let me know until very recently that she wouldn’t make it. I did send some emails to get reimbursements months ago, but moving it to an agenda item took me a while.

POI: We try not to make it a policy to reimburse people; our accountants hate it, because there are tax consequences. Are you okay with getting a rent credit?

Quinn: Absolutely.

Kate: So we’d need to track down the actual numbers and then set it up as a rent credit.

POI: Please leave the laundry room light on at night. We’ve had people sneak in there before. Please leave it on.

Our newest member is hoping to move in soon. There’s still painting and graffiti to clean up in #203 before we can get the new tenant in. The outgoing member in #203 left a mess. I’ve been cleaning up the commons areas she did not.

POI: You can totally claim labor credit for cleaning of the unit like that. Get the membership coordinator’s agreement that the unit needs it and the labor czar will approve the credit.

CQ: What is David the operations manager’s position on the #104 situation?

POI: It seems like that’s something the board should discuss. Let’s get it on their agenda.

CQ: Where’s the leaf-blower?

POI: Ask the grounds coordinator?

POI: I have, and looked in the grounds closet.
